    Since 1999 Datatron have been providing document management services to the Newcastle upon Tyne NHS Foundation Trust.

    With over 1800 beds and 6 sites the Trust is one of the largest teaching hospitals in the UK. With a Trust that engages over one million patients per year the constant generation of new patient records was putting a strain on the sites library facilities.

    Calsonic Kansei UK Ltd has it’s origins dating back to the early 1900’s and are an established supplier to the European and Global Automotive markets. The UK is home to their European head office, Technology Centre and four manufacturing facilities.

    Calsonic had two areas of the business causing a concern with paper storage in 2001, purchase ledger and logistics. Access to purchase invoices was required on a regular basis and this resulted in a Datatron Therefore web hosted document management solution being selected, giving staff access to data from their desk without the need for IT support of installed software. Logistics though only needed the space and selected the Datatron managed warehouse to store their records as access was very rare.

    Being a large engineering company, the purchase accounts department received a large number of invoices and required a solution to reduce the storage need and provide ease of access. Outside IT services were provided to Express Engineering and the installation of software was not an easy process, therefore the use of the Datatron Therefore web hosted document management solution was an easy option for Express in 1999. Supporting the software is the Datatron bureau scanning service offering a regular conversion service and therefore keeping paperwork to a minimum in the department.

    Nissan looked for a single product solution which could replace this system, something which could combine an ‘off-the-shelf’ archiving. Alchemy provided a centralised digital archive for scanned images with a familiar folder-based interface familiar to users. It was capable of fulfilling the criteria of a single product solution and supplied the vital client-server networking support Nissan wanted.

    Parker Domnick Hunter offers a range of filtration and separation solutions that are designed to meet the needs of global customers through a dedicated focus on key market sectors.

    The storage of quality records is critical to Parker Domnick Hunter and although they have their own Office Warehouse document management system, the volume of paper generated could not be handled internally. In 2008 Datatron was requested to provide a monthly scanning service creating tiff format images to which various key fields are extracted and added to a csv file which is uploaded to their document management system along with the corresponding tiff images.

    The pharmacy department had a problem with storage and access to records and required an easy to implement solution. Datatron were instructed in 2010 to provide a scanning service to the department using Alchemy document management retrieval software. Records are held by unique keywords to speed up the retrieval to the required record.

    AGC Chemicals Europe

    AGC Chemicals Europe Ltd manufactures PTFE and ETFE films, resins, dispersions and lubricant powders for heat and chemical protection, electrical insulation, stick prevention.

    Plant maintenance records were held in paper form in a cramped, office within the factory, access was extremely limited and presented a health & safety issue. AGC wanted to have the records more accessible throughout the plant. In 2013, Datatron were instructed to scan the manuals in PDF format with full OCR to aid the retrieval process and the images uploaded onto a shared drive on their network whilst SharePoint was implemented as their preferred document management solution.

    Bathstore recognised early in 2012, that storage of records could become a problem if they did not act quickly and therefore installed an Alchemy document management solution, using the Datatron bureau conversion service. Records are collected and scanned by batches and placed into a single database to which staff have access enabling them to answer supplier queries quickly and efficiently.

    Camerons Brewery Ltd is an English brewing company founded in 1865 at Hartlepool, County Durham. It is the largest independent brewer in the North East of England, with a brewery capacity of 1.5 million hectolitres and a tied estate of 75 houses.

    Camerons had taken over a company in 2014, and with their accountants wanting the many boxes removing from their premises and Camerons not having the space to accommodate their financial records, scanning was the logical step. Datatron provided a bureau service to scan the backlog of records in PDF format onto DVD media, which they hoped would never to looked at again. Should the data need to be viewed, references where added to folders to correspond with each document type and their unique documents were indexed to aid future retrieval.

Keyword search fields are added to the records with data collected from the DataSupplies accounts system to populate these fields.

    As a manufacturing facility, the purchase ledger department has a large number of business records to hold. The department is able to answer queries quickly and also keep their paperwork to a minimum.

    East Durham Homes Ltd is a provider of social housing with 8,300 homes. Established in 2004 to manage, repair and improve council owned housing, they are now a landlord in their own right.

    East Durham Homes selected a Therefore document management solution for the scanning, storage and retrieval of their housing records. Due to the size of the backlog of records, Datatron was requested to provide a scanning service to clear this and allow EDH to handle the day to day records. Adhoc scanning requirements are provided to EDH through the Datatron bureau scanning service.

    Formica is a worldwide leading provider of branded, design coordinated surfacing solutions for commercial and residential customers.

    Since 2002, a small purchase ledger bureau scanning service handling the UK invoices was provided using an Alchemy document management retrieval solution. Formica brought their European operation into the UK office with an increased demand for the Datatron scanning service. Output from Formica’s finance system provides additional search capability to records within Alchemy. Customer services realised they too had an even bigger storage and retrieval issue and once they had agreed to using Datatron, the conversion of their backlog of records began. Weekly scanning services are provided to both departments and a concurrent multi-user search licence enables both to access and retrieve records quickly, enabling queries to be answered efficiently.

    The council were looking for a local company to provide support to their microfilm reader printer. Should there ever be a problem, a phone call gets an engineer on site quickly.

    MAN Diesel & Turbo is the world market leader for large diesel engines for use in ships and power stations and are the UK representative of the worldwide after sales service network providing services to customers in the marine, power, oil and gas, petrochemical and rail traction markets.

    With a worldwide demand for spares and support, MAN needed a better solution for their support team rather than thumbing through paper manuals, held in an old building marked for demolition. In 2010, Datatron was requested to scan each of their spares manuals with full OCR to enable full text search capability. Records were placed onto the extranet offering staff and clients alike the ability to find the information they required.

    MECAPLAST Group is one of the European leaders in automotive equipment and designs, develops and manufactures parts and complete systems for vehicle bodies and engines.

    As with many manufacturing companies, purchase invoices is a growing ongoing problem and with limited space in the accounts department a solution was required before records took over the office. The result was the installation of an Alchemy document management retrieval solution in 2009 that could be accessed by everyone in the department with the documents scanned using the Datatron bureau service. Six years of records were scanned bringing the paperwork in the department to a minimum as only the current year is now held within the office, with regular scanning of records.

    Newcastle City Library is a library in the city centre of Newcastle upon Tyne, United Kingdom. Completed on 3 March 2009, the new library building opened on 7 June 2009, and is the city’s main public library.

    Public demand for historical and genealogical records, like many libraries, Newcastle holds the information on microfilm. To support this, microfilm readers and reader printers are available for the public to use. Datatron support these machines with the consumables supplies, toners and lamps to keep them running.

    A small accounts office with large storage problem. Records were held, not only in accounts office but also in production on the mezzanine floor. The main issue in the office was the need to make this paperless, although accessing records from the mezzanine floor was not desirable. In 2014 a Therefore document management solution was installed that enables NE Glass to scan documents as they arrived and remove the need to store paper within the accounts office. Office space has increased and access is far easier, improving productivity.

    North Yorkshire County Council is the county council that governs the non-metropolitan county of North Yorkshire in England with the districts of Selby, Scarborough Ryedale, Hambleton, Richmondshire, Craven and Harrogate.

    The storage of planning applications for the area office in Skipton was a particular problem due to the confines within their small office. A solution was required that could handle small and large documents alike and be accessible to the office for queries. Datatron cleared the backlog of records and was asked to scan their records on an adhoc basis, when the limited storage shelf becomes full, and place this into their selected document management retrieval solution, Alchemy.

    Sales and purchase invoices were held on a mezzanine floor within the production facility and presented issues with both access and health & safety. Staff wanted to access the records quickly, without the need to go through production with the associated risks. In 2004 a bureau scanning solution was put in place that cleared the backlog of six years records and annually raised records on an ongoing basis. Access to the digital data is through an Alchemy document management retrieval solution to both departments.

    Two areas causing concern were storage and access to records sales orders and purchase invoices. Extracts from their finance base is used to populate keyword search fields within Alchemy, access to records is quick and efficient and speeds up the retrieval process.

    Two Castles Housing Association provides affordable homes for people having a range of sheltered accommodation across the north.

    Scanning for the accounts department was the first step into digital storage for Two Castles in 2004 using Alchemy retrieval software. Subsequently they implemented an Alchemy document management solution throughout the organisation to handle all records internally. Scanning the backlog of housing and tenant records was too great to handle internally and Datatron were requested, in 2011, to the collect records from each of the area offices and scan these into Alchemy databases with folders for each property and sub-divided by document type, to upload onto their Alchemy server.

    VLS provide bespoke commercial vehicle leasing and management solutions, specialising in utility and public sector customers.

    Vehicle paper records were a problem for VLS and a solution was sort in 2012 that would allow them to scan the records and add the digital images to their vehicle database. The solution was a Datatron bureau scanning service to clear the backlog using PDF format images identified by vehicle registration number and then imported into the VLS database. Ongoing bureau services are provided.

    West Lakes Academy is a secondary school with academy status in the town of Egremont, Cumbria. Wyndham School was built and opened in the 1960s.

    WLA had a problem with storing a large volume of student records. In 2012 they required a solution that would enable the academy to access data more easily and release the storage space for more productive use. A solution using PDF format digital images on a shared drive was provided to enable administration staff to access records using the student’s name and date of birth. An annual scanning service is provided at the end of each academic year to keep the paperwork to a minimum.

Woodhorn has their own microfilm department filming newspapers, manuscripts and other historical records to which the public has access to. With paper based records being damaged through use and in some instances being irreplaceable, microfilm is a far more convenient and resilient medium. To support Woodhorn’s activities, microfilm readers and reader printers are available for the public to use. Datatron support these machines with the consumables supplies, toners, lamps and microfilm to keep them running. Additionally, Datatron provide a processing and duplication service for the microfilm and a scanning service from microfilm.
